Frequently Asked Questions

What payment options do you support?

We accept all major credit cards as well as PayPal. Payments are usually taken monthly, but we also offer quarterly, half-yearly and annual methods. Further discounts of 5%, 10% and 15% apply to 3 monthly, 6 monthly and yearly prepayments respectively.

What is a managed entity?

It is the core unit in which your business or practice trades, in most cases, clients or customers (see table below for more examples). There is no charge per user, you can have as many user logins as you need to run your business. Other companies may charge by a "per user" basis, but this can quickly escalate if you need to have additional users to access the system like clients, third party contractors and part-time internal staff. We have chosen this costing model as a fairer reflection of your real activity and system usage - what you PAY should be related to what you EARN out of using the system - the more "revenue-generating entities" you have, the more it will cost to manage them but the more revenue you are generating from them.

What is an active managed entity?

You pay for an active managed entity. An active managed entity is a client, project, fund, forum or engagement with which you have have regular interaction. With an active managed entity you get :

  • A dedicated email address for the entity to which any correspondence can be forwarded (eg. myclient@mysystem.webrecs.com)
  • A customisable dashboard for interacting with the entity
  • Delegated responsibility - the responsibility for managing access to the entity can be delegated to someone who is not a super-user - ie. can invite and remove users for the entity only
  • The ability to securely move/copy entity documents to and from Dropox, Google drive and OneDrive
  • Higher security - the chance that a third party can access internal or company documents is greatly reduced since the entity is logically separated from the core system

If you archive the entity, everything will become inaccessible to your client and the above capabilities will be removed but all the data will still be stored in the system and accessible to you. You will not be charged for inactive or archived entities.

What if I just need to store client documents and do not need all the features of active managed antities ?

If you just store client documents within your own company document repository, you will not need to pay additional fees for managed entities, just the base fee. As you grow and/or decide to get the benefits of managed entities you can simply add them - up to 50 are included in the base price anyway.
